Specialist EN ↔ VI document translation

Aviation document translation with guaranteed terminology, preserved formatting, verifiable results.

AviTerm translates specialist EN↔VI documents with AI, but instead of trusting to luck, every translation runs through an expert-approved termbase and a QA pass executed in code. A missing mandatory term is caught and fixed, not left to chance.

15–30 min
typical turnaround for a file that size
150,000 words
largest single file, about 500 pages — same on every plan

A hundred-page dossier back the same morning – not next week.

AviTerm splits each document into sections and translates them in parallel, so length costs you far less time than it used to. Speed changes nothing about the checks: the same termbase and the same code-based QA pass run on a 500-page file as on a two-page memo.

Terminology traced to ICAO Annexes and Docs, Vietnamese aviation regulations and specialist dictionaries – every entry records the source it came from.

.DOCX.PPTX.XLSX

Upload the original file – get that same file back, with its formatting, formulas and layout intact.

No copy-pasting text. No rebuilding layouts. Tables, headers, footnotes, slide masters and spreadsheet formulas stay exactly where they were.

A 500-page document — 150,000 source words — translated whole in a single pass. No chunking, no pasting section by section, no lost formatting.

No credit card required. DOCX, PPTX and XLSX keep their original formatting. Includes a QA report and a bilingual comparison table.

Built for specialist documents that must be accurate, consistent and verifiable:

  • Expert-approved termbase
  • Code-based QA
  • Preserved DOCX/PPTX/XLSX formatting
  • QA report + bilingual table

One sentence. Two results.

The same English source, translated two ways. The difference is not the model – it is what the model is required to comply with.

The difference is not the model. It is an expert-approved termbase plus QA enforced in code.

4 reasons AviTerm is more than an ordinary translation tool.

1

Guaranteed terminology through code, not chance

Every document passes through an expert-approved termbase, then a code-based check that inspects each mandatory term. Missing or incorrect terms are flagged and repaired automatically – a deterministic result, not a hope that the model remembered correctly.

2

Consistency across the document and the team

A 100-page document or a 20-person team draws on one shared set of terms. A translation memory grows over time, so the more you use it, the more consistent your team's output becomes.

3

Files and reports ready to use

You get back your original DOCX, PPTX or XLSX, with only the text translated, plus a bilingual comparison table and a QA report. This package is ready for submission to state regulatory authorities, or for exchange with international partners.

4

Excel spreadsheets, formulas untouched

Excel spreadsheets keep their formulas, number formats and layout. Repeated strings are charged once — a 1,000-row sheet usually costs no more than a few hundred strings.

Long documents stop being a problem

Pasting a long file into a chat tool means cutting it into pieces, and terminology drifts at every seam. AviTerm takes the whole file at once.

Up to 500 pages in a single upload

That is 150,000 source words in one run — the same ceiling on every plan, measured against what the workers can actually hold in memory, not a marketing number. Larger files must be split; the wizard tells you before anything is charged.

One terminology from page 1 to the last page

The termbase, the do-not-translate list and the document brief travel with every section, and identical source sentences are resolved to one identical translation. Pasting section by section into a chat tool cannot do this.

Progress you can watch, and it does not need you

Translation runs on our servers, so you can close the browser and come back. For large documents we email you when it is done.

An interruption does not cost you the work

Progress is checkpointed after every batch. If a run is interrupted, it resumes from the last checkpoint instead of starting over — and you are never charged twice for the same document.

Translation memory

Edit it, translate it again — almost free

Real documents are not translated once. You translate, send it for review, change a few sentences, translate again — three to five times before it is filed. If every round cost full price you would avoid using the tool, so it does not.

  • Translation memory records every sentence you have already translated.
  • Translate an edited document and only the parts that actually changed are billed.
  • Above 95% match, the whole document counts as 20% of its words.
  • Sentences you did not touch keep the exact wording you approved last time — including any corrections your reviewer made.

How a real document gets finished

  1. 1Translate the draft — billed in full
  2. 2Send the output for expert or internal review
  3. 3Change the twenty sentences that came back
  4. 4Translate again — 20% of the words

Applies within 30 days, per language direction, and only inside your own organization — your sentences are never reused for anyone else.

From source file to a verifiable translation, in four steps.

Step 1

Upload your document

Upload a DOCX, PPTX or XLSX file. The system splits the text into segments, preserves the formatting, then counts the words and shows the cost before translating.

Step 2

Translate with an enforced termbase

The engine translates with Claude, applying the approved termbase and the document brief (document type, style). Mandatory terminology and do-not-translate items (document numbers, proper names) take absolute priority.

Step 3

Code-based QA pass

A check that runs in code inspects for missing terminology, wrong numbers, misplaced placeholders and untranslated segments. Errors are auto-repaired in one pass; anything that falls short is clearly flagged for your review.

Step 4

Get your file and report

Receive your original file, now translated, along with a bilingual comparison table and a QA report. Download it, use it right away, or move on to expert review if it is a critical document.

Add-on

Reviewed by aviation experts

When a document is a regulatory submission or an important external-facing text, a QA-passed machine translation may still need an expert's eye. Aviation experts in our network review each segment on top of the machine QA, so you can submit with confidence.

  • Aviation experts review each segment on top of the machine QA results, focusing on points of terminological and legal risk.
  • A review log records every edit by segment – transparent and traceable.
  • Suited to submissions to state regulatory authorities and documents exchanged with international partners.

Quoted per document, around 280,000₫ per 1,000 words - against roughly 1,000,000₫ per 1,000 words to commission the same translation from an aviation translator.

How is AviTerm different from using AI directly?

For a stray paragraph or a one-off reference translation, plain AI is often good enough and cheaper. AviTerm exists for specialist documents that must be accurate on terminology, consistent and verifiable.

CriterionAviTermPlain AI (Claude, DeepL...)
Mandatory terminologyExpert-approved termbase + code QA that catches missing terms, 100% deterministicDepends on the model's memory each call, with no guarantee

Preserved file formattingReturns your original DOCX/PPTX/XLSX, including tables, headers, speaker notes and formulasOften loses formatting, leaving you to rebuild the file by hand
Verification and paper trailQA report + bilingual table, ready for regulatory submissionsNo report; you check it by eye
Stray paragraph, one-off costNot our strength – built for documents, not single sentencesDoes it well and cheaper for quick, one-time work

Transparent pricing, by source word.

The unit is the source word, split on whitespace - you can verify it yourself in Word. Quota is charged exactly once per document. Going over your limit is a soft cap, never a hard stop mid-way, and it is charged at a single flat rate.

Your documents stay yours

You are handling files that go to a regulator. Here is exactly what happens to them — and every line below is something we actually enforce, not an aspiration.

  • Never used to train AI models

Your documents are used to carry out your translation work and nothing else. This is written into our Terms of Use and Privacy Policy, not just stated on this page.

  • Deleted automatically after 30 days

A scheduled job removes expired files every day. You can also delete any document yourself, immediately, with one button.

  • A separate space for every organization

Access is enforced by the database on every request, not merely hidden in the interface. Files sit in private storage that nobody outside your organization can read.

  • An open data path

Translation runs through the Anthropic API. Files and data are stored on Supabase infrastructure. No other third party sees your documents.

Frequently asked questions

With plain AI, whether the terminology is right or wrong depends on whether the model remembers correctly on that particular call, and you often lose the file formatting. AviTerm applies a termbase approved by aviation experts, then re-checks it in code to catch missing or incorrect terms, and returns your original file with a QA report. To be direct: for a stray sentence or a quick reference translation, plain AI is enough and cheaper – AviTerm is for documents that must be accurate, consistent and verifiable.
